Admin Level - Superuser

If you offer special rates, reduced rates or free registration for board members or coaches do the following best practice.

  1. Do NOT have them go through the registration system. This is to avoid offering discounts or free options to everyone. As a result, you will want to have them sign hard copies of any waivers and agreements that are part of the registration.
  2. If they are Free and they are already in your database do the following:
    1. Go to Member Admin.
      1. Chameleon users: In the side menu click Team Admin > Account/Member Admin > Members tab.
      2. New CMS users: In the side menu click Team Tools > Members.
    2. Place a check mark to the left of all free athletes that fall under this category
    3. Click Multi-Edit
    4. Click Change "Member Status"
    5. Click the drop down and select *Active
    6. Click Save Changes
    7. These Athletes are now ready to swim for the season. If you need to collect fees such as USA registration dollars simply go to the billing system and add a one time charge to their account to pay during the monthly billing cycle.
  3. If they are not FREE but pay a reduced amount do the following:
    1. Follow the same steps for the free athletes
    2. Go to Invoices & Payments.
      1. Chameleon users: In the side menu click Billing Admin > Invoices & Payments.
      2. New CMS users: In the side menu click Financial Tools > Invoices & Payments.
    3. Place a check mark to the left of the Board Account
    4. Click New Inv Item
    5. Create an invoice for the amounts owed
    6. Click Save New Invoice Item
  4. IF YOU need a proper count in Online Registration then you need to do the following for all of these athletes
    1. Go to Registration Admin.
      1. Chameleon users: In the side menu click Team Admin > Registration Admin.
      2. New CMS users: In the side menu click Team Tools > Registration Admin.
    2. Click Manage to the right of the active Registration
    3. Click Not Registered tab
    4. Select your athletes and click Set as Registered
    5. They are now in the registered tab and you can go through the normal approval process with no dollar figures applied
